Practice Management on Embodia - Part 2: Scheduling - Multi-location option 1

The actions described in this lesson are only enabled if you choose the Setup Option 1 from multi-location options. Refer to the "Multi-location options" lesson for more information.

 

Adding locations

The actions described in this section require a Manager permission on your clinic.

To specify multiple locations for your clinic, click on the Settings tab in the top nav bar, and then on Branding under the Communication & branding section, and then on Address. Click on Add an address to add your location address. The first address you add is your default address that will be used in any printed materials that are not associated with a location.

 

Specifying the location when scheduling a consult

When scheduling a consult, you can select the location from your pre-entered addresses, or by specifying a new custom location:

Setting up your services

The actions described in this section require a Manager permission on your clinic.

To set up or edit your services, go to My Clinic > Scheduling settings > Our services.

We recommend adding an internal code to your services to indicate which location they will occur at:

To edit an existing service, click on the Edit icon next to that service:

Enter the internal code/name (this is for internal use only and is not visible to your patients):

Under Consult type you can select:

  • In-person: this can be a home visit or in your clinic/physical location.
    • Home visits are location agnostic (i.e., in online booking they are available in all of your locations).
  • Virtual: these are location agnostic (i.e., in online booking they are available in all of your locations).
  • Phone call: these are location agnostic (i.e., in online booking they are available in all of your locations).

If you select an In-person consult type, you will then need to select the correct location for this service by clicking on the dropdown menu next to Location:

Availabilities

Each clinician can set when they are available and at which location by going to Consults > My schedule > My availabilities:

Click Add to my schedule to add a new availability or click on the Edit icons next to existing availabilities:

You can limit availability in your schedule in the "Services for this availability" section by clicking on the Edit icon to the right of "Can be used to book the following services:" and select which services are available during those specific dates and times:

The patient experience

When the patient visits your online booking page, they must first select the location they would like to visit.

Once they have selected a location, they will be able to book any service that you have made available in online booking and that is available at that location.
